Committee Overview
The following are a list of sub‐committees within the ORVFC organization and high‐level list of the responsibilities managed by each sub‐committee. Each sub‐committee is responsible for documenting its procedures and guidelines as to how it will execute certain responsibilities. All changes are reviewed by the ORVFC SLC sub‐committee and need to be approved by the same prior to implementation.
Participation Management Committee (PMC)
- Collection, scanning, storage and eventual destruction of all birth certificates
- Collection and storage of player photographs
- Collection and distribution of family contact and player information
- Responsible for program registration process
- Communication of programs and events to families via web, schools, posters in town, newspaper ads, etc.
- Responsible for identifying one volunteer to serve on the MCC sub‐committee for the QVRA Board
- Initiates and tracks participant response surveys
- Manages technical aspect of website, intranet and online registration database
- Provides (1) volunteer to serve on QVRA Participation Management Committee
Program Execution Committee (PEC)
- Reviews program design as it pertains to club goals, individual program goals, etc.
- Responsible for documenting policies and procedures across the entire club
- Manages Grade Commissioner role
- Reviews survey results and provides recommendations to SLC on possible changes to the program
- Responsible for facilitating parent education as it pertains to program design
- Coordinates all training, league and non‐league scheduling
- Provides (1) volunteer to serve on QVRA Program Execution Committee
- Manages club photography and award ceremonies
Financial Management Committee (FMC)
- Accounts Receivable: Tracks all electronic and check deposits through QuickBooks, Paypal and PNC
- Accounts Payable: Initiates payments to vendors according to policy guidelines
- Follows FMC policies as dictated by the QVRA Treasurer; Recommends changes to QVRA Treasurer when necessary
- Recommends fee structure to be approved by SLC and then the QVRA Board
- Prepares division budget for approval by QVRA Treasurer
- Assistant Treasurer is Chair of ORVFC FMC and a member of the QVRA FMC
Uniform and Equipment Committee (UEC)
- Responsible for the ordering of uniforms and equipment
- Takes inventory at the end of each session
- Provides 2 year budget based upon 24 months of planned expenditures
- Provides (1) volunteer to serve on the QVRA Fields and Facilities Committee
Officiating Management Committee (OMC)
- Recruits, trains, facilitates the licensing of the necessary number of officials to officiate
- ORVFC home matches
- Offers Parent Education on the role of officials via meetings or written correspondence
- Submits referee budget based up planned schedule
Director of Coaching (DOC)
- Responsible for the hiring/dismissal of contract coaches where necessary
- Provides an annual budget on proposed coaching fees
- Manages the training, performance, selection of volunteer coaching coordinators and coaches
- Manages the maintenance and delivery of player evaluations
- Assists with parent education
Strategic Leadership Committee (SLC)
- Reviews and approves any issue that would need to be evaluated to the QVRA Board for approval
- The purpose for this committee is to provide a “soccer perspective” that validates the need for the change prior to making the request of the QVRA Board to approve the change
- Committee will meet every 6 months to review feedback, surveys, alignment between program and program goals
- Division President is the 5th or 7th member on this committee and is not able to unilaterally change policies or procedures to the program without a simple majority of the SLC and approval by the QVRA Board of Directors
